Administration Clerk: Contract Management (2 Posts)

Requirements

A Grade 12 certificate. A three-year Degree in Supply Chain Management plus two years’ experience in the Contract Management field, and an NQF5 certificate in contract management, will be an added advantage. Knowledge of the contract management framework and administering a contract register will also be an added advantage.

The advert asks for an understanding of the Supply Chain Management legislative framework, and a basic understanding of the PFMA, PPPFA, Financial Framework, Contract Management Framework, Supply Chain Management Framework, Treasury Regulations, GRAP and BBBEE.

Duties

Providing clerical support in administering contract agreements: preparing motivations for contracts, ensuring accurate invoices from contractors are submitted to the Assistant Director for approval of payment, compiling submissions to Legal for drafting service level agreements and addendums, and monitoring that SLAs are in line with relevant legislation and GPW prescripts.

Also ensuring contracts are properly executed, maintained and updated by tracking contract performance and compliance, monitoring the validity period of contracts and SLAs to ensure extension or renewal before expiry, rendering logistical support and ordering stationery, keeping personnel records, updating and maintaining contract registers of service providers, and compiling basic reports on contract status, performance, compliance and risks.

Duties

Rendering administration support in the process of printing outsourcing in accordance with relevant prescripts, policies and procedures. Checking and verifying contract printers’ quotes and invoices in accordance with contract tariffs, and keeping records of daily monitoring of printing work.
