Requirements

  • A minimum of a National Senior Certificate or Grade 12
  • No work experience required
  • Completion of a Records Management course is a prerequisite
  • Knowledge of records and documents management, a file plan, and mail and courier service procedures
  • Knowledge of the Promotion of Access to Information Act (PAIA) and the National Archives and Records Service Act (NARSA)

Knowledge of an electronic document and records management system (EDRMS) and of the Reapatala invoice tracking system is listed as an added advantage rather than a requirement.

Planning and organising, verbal and written communication, problem solving, customer care and client orientation, computer literacy, liaison, analytical and interpersonal skills, and telephone etiquette. The advert also asks for accuracy, confidence, and the ability to work in a team and independently under pressure.

Duties

Receiving mail from the Post Office and from internal clients, opening, stamping, sorting and recording it in the register. Receiving parcels delivered by hand and recording them. Rendering a courier service, including packaging documents and addressing envelopes. Filing and retrieving files on site and in off-site storage, controlling the movement of and access to files, and indexing and scanning.

The role also covers reloading the franking machine, registering priority mail, date stamping invoices and forwarding them to finance, registering the supply of files to officials, following up on files not returned by the due date, and registering incoming invoices on the Reapatala tracking system.

How to Apply for Public Works Vacancies

The Department is strict about the application form, and incorrect or incomplete forms are disqualified.

  1. Use the prescribed Z83 form, available from any Public Service Department or at the DPSA website. The Department states that applications on an incorrect or incomplete Z83 will be disqualified.
  2. Sign and date the form, and complete Parts A and B in full. Part C and Part D must also be completed — note that on Part D, you may not simply write “see CV” where specific information is requested.
  3. Attach a detailed CV only. Certified copies of qualifications and other documents are required from shortlisted candidates on or before the day of the interview.
