Requirements

A minimum of Grade 12 or NQF Level 4. Secretarial experience will be an advantage.

Skills needed: language skills and the ability to communicate well with people at different levels, computer literacy in MS Word, Excel and PowerPoint, good telephone etiquette, sound organisational skills, good interpersonal skills, a high level of reliability, good communication skills, and the ability to act with tact and discretion.

Duties

Providing a secretarial support service to the Director. Receiving telephone calls and referring them to the correct role. Recording appointments and events in the Director’s diary. Operating office equipment such as the fax and photocopying machine. Liaising with travel agencies to make travelling arrangements for the Chief Director, and processing travel and subsistence claims.

Also arranging meetings and events, booking venues, inviting role players, organising refreshments and setting up schedules. Processing invoices from the Director’s activities, recording basic minutes of meetings, drafting routine correspondence and reports, establishing and maintaining the filing system, administering leave for the Director, and handling procurement of standard items such as stationery and refreshments.

What Happens If You Are Shortlisted

All shortlisted candidates undertake two pre-entry assessments: a practical exercise, and an Integrity or Ethical Conduct Assessment. Selection panels score both technical exercises as an additional criterion in the interview process.

Shortlisted candidates are subjected to a personnel suitability check, which may include social media profile checks. The successful candidate undergoes full security vetting while employed by the Department, and a negative outcome nullifies the employment contract. Successful candidates disclose their financial interests within one month of appointment and are appointed on probation for twelve months.
